Terms & Conditions

BOOKINGS & CANCELLATIONS

​

Bookings are not held until a booking deposit of 30% is received.

The booking deposit shall be deducted from all hire charges.

Confirmation of the booking will be emailed together with the invoice, in respect of the Tariff and Security Deposit.

All remaining balances shall be paid no later than 25 days before hire commences.

The Damage Deposit must be received into our account no later than 24 hours before hire commences.

We recommend that the Hiree takes out their own cancellation insurance.

Cancellations must be in writing (email is fine), and will be charged as follows:

  • If you cancel your confirmed booking within 45 days prior to commencement of hire, you will forfeit 50% of the deposit.

  • If you cancel your confirmed booking within 25 days prior to commencement of hire, you will forfeit 100% of the deposit.

  • If you cancel your confirmed booking within 7-24  days prior to commencement of hire, you will forfeit 50% of the total booking.

  • If you cancel your confirmed booking within 6 days prior to commencement of hire, you will forfeit 100% of the total booking amount.

You shall forfeit the Full Hire Charge (Booking Deposit and Balance) if you either; fail to turn up for commencement of hire, or if upon inspection of named drivers’ licences, they are found to be invalid or do not comply with the information stated on the booking form. In either of the above scenarios, we will return any Security Deposit that has been paid, but only to the Bank Account from which it was received.

AVAILABILITY

​

Whilst we will make every effort to ensure that the reserved Motorhome is available, if, due to circumstances beyond our control, it is not possible to supply the vehicle, then only in this event will money be refunded. We will not be held responsible in any way for compensation for circumstances out of our control. We will notify you immediately by phone if there are any such issues.

COLLECT & RETURN TIMES

​

A 2-hour collection and drop off time must be set and agreed at time of booking and confirmed at least 7 days before the commencement of the hire. Alterations to these times must be made by phone call and then agreed in writing (email and texts are fine).

Collection is from 0700 hrs on the collection of day, please allow 1 hour for check-out plus loading time. All Instructional Videos MUST BE VIEWED on our website before attending, you will sign the Rental Agreement confirming which videos have been viewed. If the instructional videos have not been watched, it will take considerably longer to demonstrate the running of the motorhome to avoid any potential damage, and therefore delaying your leaving time.

Return is by 1800 hrs on final hire day. Please allow time for unloading plus 30 minutes for check-in. Please bear in mind that only an initial check of the vehicle will be completed at this point. A full check will not be carried out until the vehicle is being cleaned and tested, usually within 2 days of vehicle return. Please identify and let known, any damage at the point of check-in, to avoid any discrepancies. This will determine any costs resulting from damage/loss that has occurred during the rental period. Any issues will be photographed and sent to you directly. Any major damage identified at this time, may result in an insurance claim, for which you may be liable.

We are under no obligation to allow extensions to your trip. Subsequent bookings may be affected if the vehicle is not returned at the correct time agreed. Requests for extensions must be made by a phone call and then agreed in writing (email or text). Extra charges will apply according to website rates should an extension be granted.

Unauthorised extensions with no return of the vehicle at the agreed date and time will result in a reporting of vehicle theft to the police, a £250 per day charge and informing of the theft to the Insurance Company.

INSURANCE

​

The Motorhome is comprehensively insured for the named driver/s ONLY for the duration of the hire period, subject to completing satisfactory Driver Eligibility Checks. For details of the insurance restrictions please view the Driver Eligibility Checks section below. Additional drivers are subject to the same checks as the main driver.

In the event of an accident, the Hiree must not admit responsibility. The Hiree should obtain the names and addresses of everyone involved, including witnesses. In addition, the Hiree should make the motorhome secure, inform the police straight away if anyone is injured or there is a disagreement over who is responsible; and contact us immediately. The Hiree will be required to complete an accident form at the end of the hire period. We suggest you use a mobile phone or camera to photograph the accident, surrounding areas and anything that might prove useful after the accident.

Any damage to vehicle tyres (except normal wear and tear) or any theft of personal property is not covered by our insurance, and any such occurring damage shall be at your expense. We recommend that the Hiree takes out their own personal vehicle contents insurance.

Driving by non-named drivers and any late returns (not agreed by us) of the motorhome renders the insurance invalid. The driver will be committing an offence under the Road Traffic Act and will be solely responsible for any damages and personal injuries incurred.

No monies can or will be refunded if an accident occurs in which the holiday must be cancelled. We cannot be held liable for this, regardless of blame.

The vehicle MUST not be driven off-road, through Fords, or on narrow roads.

If an Insurance Claim is made, by us or other parties, due to an accident / damage that has occurred during your Rental Agreement Hire Period, you will be informed immediately. You may be required to speak with, or fill out forms for, the Insurance Company to continue the claim. Your cooperation is required and failing to do so may result in a claim against you for any costs acquired during your Hire Period.

 

DRIVER ELIGIBILITY CHECKS

 

A Drivers Eligibility Check form will be sent to all persons wishing to drive the vehicle during the rental agreement period. The form must be completed and returned to us before collection of the vehicle but within 7 days of hire commencing. This will involve the production of an online code for a DVLA licence check. You will require your driving license number, your postcode, your national insurance number to obtain this from the DVLA website.

Should the check result in any discrepancy, the insurance company will be contacted, and the resulting hire may be subject to their decision and or extra terms imposed.

At the point of collecting the vehicle, we advise that the required drivers complies with and can provide the following:

  • A Full Valid photo card drivers’ licence (address & ID must be up to date)

  • Another form of ID such as a passport

  • Two proofs of address from separate sources matching the Driving License. At least one of these must be from a primary source. Documents (must be dated within 90 days of hire) accepted are as follows:

In order to pass the Drivers Eligibility check the following must apply:

  • Is within the specified age limits (25-70 years old) and has at least 2 years driving experience.

  • Has referred any medical condition requiring Driver and Vehicle Licensing Agency (DVLA) notification and authorisation has been granted by the DVLA.

  • Has not been convicted of any motoring offence or has a prosecution pending other than parking or one speeding offence.

  • Has less than 6 penalty points on their license. If they have 6 then two, 3-point convictions are acceptable without referral. A single conviction totalling 6 points+ will require referral and we must be informed at the point of booking.

  • No more than one fault or outstanding incident/claim in the last three years.

  • Is not engaged in professional gambling, sport, or entertainment, hawking or general dealing, street or market trading, or modelling.

  • Has not been refused motor insurance at normal rates and terms or has not been declined insurance or had any insurance policy cancelled by an Insurer.

If any of the above conditions can not be met at the point of booking, then you must contact the Hirer to refer the information on to the Insurance company for review. The insurance company decision is final and any alternative conditions and charges, such as increased excesses, will be met by the Hiree.

Before Commencement of hire the following must be completed:

  • Completion and return of the signed Driver Eligibility Checks form confirming all the above information to be satisfactory. This must be within 7 days of the commencement of hire.

  • Payment of the Damage Deposit must be received from the Main Drivers Bank Account only. This must be a clear traceable (BACS, Credit/Debit Card, PayPal, etc.) transaction directly to the Hirers bank account no later than 24 hours before the commencement of hire. Monies received from other accounts may invalidate the insurance and the driver will not be covered.

  • Supplying a valid DVLA Licence check code within 3-7 days of hire.

  • A signed rental agreement.

  • All original licences and relevant documents required must be produced at the point of vehicle collection. All electronic copies are for initial screening to determine viability of hire. All information on the licence must match those of the details given on the hire form.

 

DAMAGE DEPOSIT

 

The Damage Deposit of £1000 is fully refundable (within 5 working days) upon return of the vehicle, in the same condition as at commencement of hire, to the original bank account it was received from.

Should damage/theft be discovered on return after inspection, we will inform you and seek a resolution or quote to correct as soon as possible. The Damage Deposit will be retained until a full resolution is reached. All before and after photos, and invoices will be obtained and forwarded to you, the costs will then be deducted from your Damage Deposit. The remaining Damage Deposit, after deductions, will then be refunded to the original bank account it was received from.

You will be liable for the full cost of any damages or costs incurred that are not covered by insurance. These include the following:

  • Extra Cleaning for reference this includes Stain Removal of Bed Sheets, Upholstery (including mattresses) and Carpets, Dirty Bathroom, Dirty Kitchen & Utensils, Cupboards, Garage and Pet Hair.

  • Damage to internal housing components including Latches, Hinges and Handles, Toilet, Toilet Cassette, Sinks, Taps, Hob, Oven, Shower/Tray/Fittings, Shelves, Bed Struts, Bed Slats, Bed Curtains, Cabinetry, Table & Work Surfaces, Gas bottles, Blinds, and Fly Screens.

  • Damage to external housing components such as Tyres, Main Doors, Compartment Doors, Wing Mirrors, Windows, Skylights, Door Retaining Catches, Aerial, Awning, Waste Valves, Waste Tank, Pipework or Suspension.

  • Damage to the Fridge or other Electrical items including Lights, Switches, TV, Retracting Step, Toaster, External Electricity Cable, Plugs and USB sockets.

  • Theft, Accidental Removal, Loss, or Damage of any item provided with the vehicle. A comprehensive list is provided on our website and includes one full set of keys for the vehicle.

Repairs will incur a charge at a rate of £40 per hour plus parts and, where we can’t repair it ourselves, a professional quote will be sought for repair or replacement and the Hiree will be charged accordingly. All receipts and invoices will be provided.

If costs exceed the Damage Deposit, then the deposit will be retained, the insurance company informed, and a claim submitted. Please refer to the Insurance section for the insurance procedure.

 

LIMITATIONS & LIABILITIES

We accept no responsibility for replacement vehicle costs, travel or accommodation costs or any other loss claims arising from motorhome breakdown or accident (however breakdown cover is included).

​

THE HIREE:

  • Is liable for any cost incurred for Speeding or Parking fines, Tolls or Congestion Charges, or any other offences committed against the Road Traffic Act Regulations.

  • Is liable for any cost incurred for breaking rules and procedures at facilities you encounter during the hire period, these include clamping and compounding charges, campsite facility charges and any other charges resulting from the hire period.

  • Must remember that although these are leisure vehicles, it is an offence to drink and drive.

  • Must report any accident immediately to the Police and Hirer. You will be required to supply as much information as possible including Who, What, Where and When including supplying photos, witness details.

  • Must report any loss of Keys to the Vehicle immediately and do not attempt to break into the vehicle.

  • Undertakes responsibility for the control of the vehicle on hire to you.

  • Is liable for all overhead, side and end damage to the vehicle resulting from any accident. The maximum height, width and length of the vehicle is clearly stated on the drivers visor inside the vehicle. Be aware of Low Bridges/Narrow streets or lanes.

  • Is liable for any damage that occurs from grounding out the vehicle. The ground and speedbumps should be assessed for suitability before manoeuvring. Grounding can result in undercarriage damage including denting or cracking of tanks and damaging valves or suspension.  

  • Is liable for any damage to the awning. The awning must always be securely tied down whilst in use. It Must be stowed away when winds increase above 20km/h and always overnight. Severe Damage can occur to the bodywork of the motor home.

  • Shall not carry more passengers than the seating capacity of the vehicle, as defined in the vehicle specifications or allow the vehicle to be overloaded.

  • Shall ensure that the driver and all passengers, required by law and always when the vehicle is being driven, wear the seatbelts provided. Children must have the correct vehicle seats for their weight and height, required by law.

  • Shall not use the vehicle to carry passengers or goods for hire or reward.

  • Shall not, without written consent from us, remove the vehicle from the UK mainland. This includes the boarding of any ferries to UK islands.

  • Shall not Tow anything with the motorhome.

  • Shall not drive the vehicle off-road, on beaches on extended gravel or unsealed roads.

  • Where possible use campsites and only park the motorhome in Long Stay car parks and parking bays permitting vans/ larger vehicles.

 

BREAKDOWNS & ACCIDENTS

 

In the event of a breakdown or accident, a recovery and repair service are provided for the motorhome (details provided inside vehicle). You are authorised to spend up to £100 on any necessary repairs and/or replacement parts, and we will reimburse you only on production of a valid VAT receipt. Any repair above £100 will have to be authorised by the Hirer. Any breakdown, malfunction or damage caused by your negligence must be repaired/made good at your own expense.

 

GENERAL

 

The Motorhome and its contents always remain the property of the Hirer. The Hiree is required to keep the vehicle securely locked, using the wheel clamp and steering lock provided, when it is left unattended, and to refrain from any action or omission which may prejudice our rights to the vehicle.

We reserve the right to vary rates and conditions at any time.

We offer free roadside parking for your car whilst you are away. However, vehicles are left entirely at the Owner’s risk.

 

VEHICLE CONDITION

 

The motorhome is subject to annual MOT, Servicing and Full Habitation Checks for both the safety and ease of rental operations. Any defects or advisories detected are rectified within given mileage parameters or at the earliest convenience.

The Hiree acknowledges check-out of the vehicle and its contents, free from defects or damage, other than as specified by us. Before the commencement of hire, the Hiree is advised to check the vehicle thoroughly before leaving our premises. The vehicle must be returned in the same condition as when hired, with the interior and appliances clean.

Any issues will be subject to costs as stated in the Damage Deposit section.

 

FUEL, OIL AND GAS

 

A full tank of Diesel fuel is supplied with the vehicle at the commencement of hire and the Hiree is expected to return the vehicle with a full tank of Diesel fuel. There will be a surcharge of £20 plus the cost of fuel for any fuel shortage.

The Hiree will be liable for the draining of, or any damage resulting from, the use of an incorrect fuel type in the vehicle.

The Hiree will be responsible for the regular checking of oil and coolant levels, and the use of the correct type of fluids. Please inform us if any levels are low.

Upon illumination of any engine warning lights the Hiree must pull over immediately. Then make sure everyone leaves the vehicle, to a safe location, and call breakdown services. Please inform the Hirer of any engine warning lights as soon as practicably possible.

Our vehicles are fitted with Liquid Petroleum Gas (LPG) bottles which can be filled at limited petrol stations or some campsites. We do not charge for gas used but you may wish to fill on extended, or cold, trips to avoid running out. Please either request the facility to safely fill on your behalf or educate yourself on correct filling procedures before doing so. If the opportunity arises to fill up the LPG upon your return of the motorhome, then please do so but only if you or the facility staff are experienced and confident. We take no responsibility for any damage or injury because of incorrect filling practises.

A Gas Safety Certificate is carried out every year on the vehicle by a Gas Safe LPG Qualified Engineer and is available upon request to those commencing a hire.

 

MILEAGE

 

Mileage is recorded before and after every trip. Hirees are permitted to take the vehicle up to 100 miles per day or 750 miles in total, per weekly hire included in the normal booking price. After this you will be charged £0.50 per mile on completion of the trip. This can be paid by Cash / Bank Transfer, or it shall be taken from the Damage  Deposit.

 

ANIMALS

 

No animals are permitted in our motorhome unless prior written consent is obtained.

Dogs may be considered in our motorhome with an added extra charge of £20 per trip for each animal, please request this with your booking in the added extras.

Upon agreement of a dog(s) the Hiree agrees to always keep all dogs off the upholstery and will be held liable for all associated cleaning costs. Carpets will be removed, and washable mats put down, this is non-negotiable. We are not liable to provide anything for the dog(s) safe transportation. We will not allow cages on the upholstery to transport the dogs, but these can be placed in either the garage area or main living area if secured. Dogs should not be left in the vehicle unattended and should not be tied to awning legs when outside, any damage that results from either scenario will be liable to the Hiree.

We recommend taking your own dog beds.

 

SMOKING

 

Smoking is strictly prohibited in the motorhome, and it is against the law to smoke in hire vehicles. A fixed penalty notice of £250 will be imposed if there is any evidence of smoking in the motorhome, or a maximum fine of the full Damage Deposit could be imposed if damage is caused by smoking. We reserve the right to retain in part or whole the refundable Damage Deposit if additional deep cleaning or repair is required upon return of the vehicle.

 

ELIGIBILITY

 

Please check you adhere to all Insurance & Driving Licence conditions for eligibility.

We do not allow the Motorhome at any Music festivals such as T in the Park, Glastonbury, Rock Ness etc, or Sports events Moto X etc, unless by prior arrangement in writing.

No one other than the drivers named on the Rental Agreement may drive the hired vehicle.
